Office and HR Administrator
The role:
As a key member of the People and Organisational Development team, you will use your first-class organizational ability to provide support to the HR Generalist. Your excellent personal skills will allow you to build trusting relationships with the Japan team we serve, and you will be confident to both use your initiative and work independently as well as working collaboratively on team projects. Core areas of responsibility will include:
• Reception and general office facilities administration
• Recruitment and human resource administration tasks (including HRIS)
• Planning and executing office events
Key responsibilities:
Recruitment-related tasks
- Supporting HR Generalist on job interview scheduling
- Inputting candidate information into the internal HR system
HR-related tasks
- Assisting the HR Generalist in preparing the necessary documents for work visa renewals.
- Creating and maintaining personnel records through the HRIS
- Ensure all appraisals, department/company scores and feedback are captured within HRIS
- Prepare letters for employees for HR replated announcement such as salary increases.
- Coordinating Health Check-ups
- Announcement of year-end tax adjustments and collection of documents from employees
- Ordering business cards when requested by managers
- Organising recognition of significant date (ie. Work anniversaries)
Office Management
- Manage office H&S processes to ensure a safe and compliant office experience
- Office stationery ordering and stock take
- Reception and general office administration
- Office facilities environmental data recording for Sustainability
- Ordering and management of IT devices
Other Tasks
- Booking accommodation and team session arrangements for staff visiting the Nagoya office
- Supporting Charity and volunteer plan
- Other tasks as assigned
- Supporting HR Generalist with projects as needed

- Intermediate level of English in speaking, reading and writing
- Native level Japanese
- Ingenuity and good problem-solving skills
